United Airlines Executive Assistant to SVP Global Talent Management in Chicago, Illinois

Overview

As an Executive Assistant, you will provide daily administrative support and coordination to the Senior Vice President, Global Talent Management and Organizational Effectiveness and support additional members of the Talent Management team as requested. You will partner with the SVP in handling all administrative tasks in addition to collaborating on special projects.

Responsibilities

  • Proactively manage scheduling and calendar, emails, travel arrangements (international & domestic), and expenses

  • Provide administrative support including ordering supplies, managing invoices, organizing and maintaining files, and data management

  • Coordinate and assist with the execution of team meetings and events, i.e. preparing meeting materials, ordering group lunches, confirming attendees

  • Develop relationships with internal administrative staff to facilitate effective meeting planning and scheduling

  • Screen incoming communications and visitors to the department and handle any matters not requiring a decision or action of the SVP

  • Create and edit PowerPoint presentations and Excel spreadsheets

  • Assist with ad hoc projects as needed

Education and Experience

  • 6+ years of current experience as an Administrative Assistant supporting a senior organizational leader

  • Bachelor’s degree preferred

  • Excellent verbal and written communication skills (writing samples will be requested)

  • Strong Outlook Calendar management experience

  • Advanced in Microsoft Office (Word, Excel, and Power Point) required Ability to be flexible and accommodating with last minute schedule changes

  • Experience interacting with executives at all levels

  • Superior judgment, professionalism, poise, ability to maintain the highest level of confidentiality, and assertiveness

  • Excellent ability to maintain diplomacy, composure and effectiveness in a fast-paced environment

  • Superior follow through, organization, time management, and attention to detail

  • Great initiative with the ability to be collaborative and a team player

  • Ability to anticipate needs without instruction

  • Positive, professional attitude and presence, ability to exhibit exceptional customer service and interpersonal skills

  • Prior experience supporting Talent Management & Organizational Development – nice to have

  • Ability to work flexible work hours required

  • Reliable, punctual attendance is an essential function of the position

  • Must be legally authorized to work in the United States for any employer without sponsorship

  • Successful completion of interview required to meet job qualification
